Facility Operations & Maintenance - Oversee day-to-day operations of building systems including HVAC, electrical, plumbing, and security. Ensure preventive and corrective maintenance schedules are in place and executed effectively. Vendor & Contract Management - Manage service providers for housekeeping, security, landscaping, waste management, pest control, and technical maintenance. Evaluate vendor performance and ensure compliance with contract terms and service-level agreements (SLAs). Health, Safety & Compliance - Ensure all facilities meet legal, health, and safety requirements. Conduct regular safety audits, risk assessments, and ensure corrective actions are implemented. Space & Asset Management - Optimize space utilization and support office reconfiguration, relocations, and expansion projects. o Manage inventory of equipment and supplies to ensure operational continuity. Budgeting & Cost Control - Prepare and manage the annual facility budget, including capital expenditure (CAPEX) and operational expenditure (OPEX). Track expenses and identify cost-saving initiatives without compromising quality. Team Leadership - Supervise and guide in-house maintenance staff and external contractors. Record and classify financial transactions in accordance with established accounting principles and policies. Accounts Payable and Receivable: Process invoices and verify the accuracy of billing information. Process payments to vendors and manage accounts payable. Bank Reconciliation: Reconcile bank statements and financial accounts regularly to ensure accuracy and identify discrepancies. Investigate and resolve any discrepancies or issues with bank transactions. Audit Support: Assist in the preparation for internal and external audits. Provide documentation and information to auditors as needed. Expense Management: Monitor and control expenses to ensure they align with budgetary constraints.
