Executive - Order Management

Role Summary:

Responsible for end-to-end order management across General Trade (GT), Modern Trade (MT), E-commerce, and Stock Transfer channels for the Mamaearth account. Ensures smooth processing of orders from receipt to dispatch, accurate documentation, system updates, and coordination with internal and external stakeholders for timely fulfillment.

Key Responsibilities:

1. Order Receipt & Validation

• Collect and validate orders received through multiple channels (email, templates, or portals).
• Identify the type of order (GT, MT, E-commerce, or Stock Transfer) and ensure correct categorization.

1. System Upload & Processing

• Maintain the

  Order Dashboard

  for tracking and visibility.
• Prepare order templates and upload them into

  SAP

  for processing.
• Generate Sales Orders (SO) and update the dashboard with SO numbers for record-keeping.

1. Coordination & Fulfillment

• Liaise with the warehouse team to ensure timely dispatches.
• Work closely with vendors, transporters, and internal stakeholders to ensure on-time delivery.
• Monitor stock availability and align orders as per inventory.

1. Documentation & Reporting

• Maintain complete documentation of orders, invoices, and dispatch details.
• Generate daily, weekly, and monthly MIS reports for management review.
• Track pending orders, cancellations, and escalations.

1. Issue Resolution

• Coordinate with sales, warehouse, and transport teams to resolve discrepancies.
• Ensure corrective actions for rejected or failed orders.
• Escalate delays or issues to management with proper root cause analysis.

Key Skills Required:

• Strong knowledge of

  Order Management & Dispatch Processes

• Hands-on experience with

  SAP / ERP systems

• Proficiency in

  Excel / Google Sheets

  (dashboards, trackers, MIS)
• Good communication & coordination skills
• Ability to manage multi-channel orders (GT, MT, E-com, ST) under strict timelines

Performance Metrics (KPIs):

• On-time order processing & dispatch %
• Order accuracy (SO vs Invoice vs Dispatch)
• Reduction in escalations & discrepancies
• Timely MIS reporting & dashboard updates
