We're hiring - Front Office Executive

What we're looking for :

• Excellent communication skills
• Pleasant personality and confident presence
• Prior experience in front office or customer-facing roles preferred
• Basic computer proficiency

Roles & Responsibilities:

• To look after smooth functioning, and cleanliness of the Reception area.
• Greet the outsiders (visitors,students,vendors, interviewee) and redirect them to the concerned person / dept.
• Maintain First-aid box and keep a record of the medicines stock and its uses and place order accordingly to maintain the stocks.
• To make complaint calls to the service provider (like AC, Aqua guard,Telephone line, Microwave oven, Washing machine, etc.) as and when required for any break down and follow up with them to get the job done on time.
• Take care of the EPBAX system – taking incoming calls and transferring it to the concerned person & making outgoing/conference calls as and when required by someone.
• Keeping track of total ISD/STD calls of every month. EPBAX system
• Keeping track of incoming courier and distribute It properly to the concerned person & outgoing courier which is being sent by employees as well. COURIER DIVISION
• Prepare purchase order for various departments of particular items as and when required to purchase any item.
• Raise sanction note for Administration related issues to get the management approval to obtain the job as and when required. (like - monthly stationeries, housekeeping material, Tea-Coffee material, office car insurance policy renewal, car servicing, etc.)
• To keep track of all office cars data, which is being used by management -like car insurance policy renewal, road tax renewal, pollution renewal, servicing of the car timely etc.

PURCHASE ORDER & SANCTION NOTE

To keep track of all AMC letter of various vendors and renew it time to time with changeable terms and conditions.

ANNUAL MAINTENANCE CONTRACT

Making all GKC Admin dept related monthly MIS for Purchase summary, Tea-coffee consumption, Office stationery, Generator Usage, Office Car Usage, Photocopy summary, AMC, Petty cash summary, Electricity Bill etc. for future reference. MIS Report

To keep track of all office cars data, which is being used by management -like car insurance policy renewal, road tax renewal, pollution renewal, servicing of the car timely etc.
