Job Title:

Key Responsibilities:

  • Provide high-level administrative support, managing executive calendars, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle confidential information with integrity and discretion.
  • Coordinate and facilitate internal and external meetings, including preparing agendas and taking minutes.
  • Conduct research and provide insights to assist in decision-making.
  • Maintain and improve office systems, workflows, and procedures for efficiency.
  • Assisting in managing booths at the Exhibitions
  • Co-ordination for the travel & other arrangements as per the itinerary / agenda of German Colleagues visiting India.
  • Manage and maintain the MDs calendar including scheduling meetings, appointments, travel, and other engagements.
  • Act as the point of contact between the MD and internal/external stakeholders.
  • Prepare reports, presentations, correspondence, and other documents as required.
  • Organize and attend meetings, including preparing agendas, recording minutes, and following up on action plans.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and itineraries.
  • Handle confidential documents and information with the utmost integrity.
  • Conduct research and compile data to support decision-making and strategic planning.
  • Support the MD in managing special projects and initiatives.
  • Liaise with senior management, clients, and partners in a professional and efficient manner.
  • Manage office supplies and ensure smooth functioning of the MDs office environment.

Use polished communication skills both verbal and non-verbal to influence and persuade

Focus on business priorities and all functions to ensure client and other stakeholder satisfaction

Ability to remain calm under pressure and manage conflicting priorities

Ability to take and record accurate notes/minutes in complex meetings

Constantly consider where we can do better be enterprising

Approachable to clients and colleagues

Excellent communication and interpersonal skills at all levels

An ability to manage time and workload efficiently
