Event Coordinator – Job Description Position Overview: The Event Coordinator is responsible for planning, organizing, and executing events smoothly and efficiently. The role involves coordinating with internal teams, vendors, guests, and stakeholders to ensure all logistics and arrangements meet organizational standards and event objectives. Key Responsibilities: 1. Event Planning & Coordination - Assist in developing event concepts, themes, schedules, and flow. - Coordinate venue selection, de cor, seating arrangements, stage planning, and technical setups. - Prepare detailed event plans, timelines, and checklists. 2. Vendor & Stakeholder Management - Coordinate with vendors such as caterers, decorators, photographers, sound & light teams, etc. - Negotiate quotes, ensure timely delivery, and maintain quality standards. - Liaise with internal departments and external partners to ensure alignment. 3. Guest & Hospitality Management - Manage invitations, RSVPs, guest lists, and VIP arrangements. - Ensure smooth reception, accommodation, transportation, and hospitality for guests and dignitaries. - Handle on-ground issues with professionalism. 4. Logistics & Operations - Oversee setup, backstage arrangements, ushering, registrations, and event flow. - Ensure proper installation of branding materials, signage, safety measures, and seating. - Coordinate last-minute changes and troubleshoot operational challenges. 5. Documentation & Reporting - Prepare event-related documents like schedules, vendor lists, budgets, and minutes of meetings. - Maintain expense reports and assist in budget monitoring. - Create post-event reports, feedback summaries, and improvement suggestions. Required Skills & Qualifications: - Bachelor’s degree in Event Management, Communications, or related field (preferred). - Proven experience in event planning or coordination. - Strong organizational skills with attention to detail. - Excellent communication and interpersonal abilities. - Ability to multitask, work under pressure, and meet deadlines. - Proficiency in MS Office, Google Workspace, and event management tools. - Willingness to travel and work flexible hours. - Guest hosting and Stage management. Job Types: Full-time, Permanent

Pay: ₹25,000.00 - ₹36,163.65 per month
