Event Coordinator - Happy Retreats

We’re looking for an Events Coordinator who can take charge of every celebration hosted at KAI. Someone who knows how to plan, organize, and run events smoothly while making guests feel at home.

What you’ll do

• Coordinate all events hosted at KAI: intimate weddings, celebrations, corporate retreats, and group bookings.
• Work closely with guests from the moment they arrive until checkout, making sure they feel taken care of.
• Plan and execute event setups, décor coordination, vendor management, and timeline control.
• Ensure food service, housekeeping, and property teams are aligned with event requirements.
• Lead the on-ground team during events to make sure everything runs smoothly.
• Track guest preferences and maintain high hospitality standards.
• Handle last-minute changes calmly and offer solutions on the spot.
• Take ownership of guest feedback and work with management to improve the experience.
• Maintain logs, checklists, and event documentation.

What you need

• Prior experience in events, hospitality, or guest relations.
• Strong communication skills and a warm, guest-first attitude.
• Ability to handle multiple tasks during peak event hours.
• Good coordination skills to work with chefs, housekeeping, vendors, and service teams.
• Problem-solving mindset with attention to detail.
• Willingness to work on weekends and long hours during events.
• Someone who enjoys celebrations and understands how to create memorable guest experiences.

Nice to have

• Background in boutique hospitality or premium wedding/event venues.
• Ability to create quick reports, checklists, and WhatsApp communication for clients.
