Job Title: Documentation Executive – Trinity International Tours & Travels

Location: Ravipuram, Kochi, Kerala, India

Job Overview:

We are seeking a meticulous and proactive Documentation Executive to join our dynamic team. The ideal candidate will be responsible for managing visa applications, travel insurance, group airline bookings, hotel reservations, and comprehensive travel arrangements. This role demands exceptional attention to detail, proficiency in data entry, and strong communication skills in English to ensure seamless travel experiences for our clients.

Key Responsibilities:

  • Visa Processing:
  • Assist clients with visa applications, ensuring all required documentation is accurately compiled and submitted.
  • Liaise with embassies, consulates, and visa centres to track application statuses and resolve any issues.
  • Travel Insurance Management:
  • Coordinate and process travel insurance policies for clients, ensuring coverage aligns with travel plans.
  • Maintain records of insurance documentation and communicate policy details to clients.
  • Group Airline Bookings:
  • Manage group flight reservations, including itinerary planning, fare negotiations, and ticket issuance.
  • Coordinate with airlines to handle schedule changes, cancellations, and special requests.
  • Hotel and Accommodation Bookings:
  • Research and reserve suitable accommodations based on client preferences and budgets.
  • Confirm bookings and handle any modifications or special requirements.
  • Comprehensive Travel Arrangements:
  • Organise transportation, tours, and other travel-related services to create cohesive itineraries.
  • Provide clients with detailed travel plans and support throughout their journey.
  • Data Entry and Record Keeping:
  • Accurately input client information, booking details, and documentation into the company’s database.
  • Maintain organised records for easy retrieval and compliance purposes.
  • Client Communication:
  • Communicate effectively with clients to gather necessary information and provide updates on travel arrangements.
  • Address client inquiries and resolve issues promptly and professionally.

Qualifications:

  • Education:
  • Any Graduation
  • Bachelor's degree in Travel and Tourism, Hospitality Management, Business Administration, or a related field. (Preferred)
  • Experience:
  • Minimum of 1-2 years in a similar role within the travel industry, focusing on visa processing and travel bookings.(Preferred)
  • Skills:
  • Proficient in Microsoft Office Suite and travel booking software.
  • Excellent English communication skills, both written and verbal.
  • Strong organisational skills with keen attention to detail.
  • Ability to multitask and manage time effectively in a fast-paced environment.

Preferred Attributes:

  • Familiarity with global visa requirements and travel regulations.
  • Knowledge of international travel insurance policies and procedures.
  • Customer-focused mindset with a commitment to providing exceptional service.
