Job Description

Role Overview: As a Data Analyst in our team, your primary responsibility will be to oversee all aspects of ERP Management and task completion. This includes managing orders and Purchase Orders (POs), coordinating stock reorders, tracking customer special orders and repairs, and ensuring seamless communication between vendors, our back office, and the sales team. Your organizational skills, strong follow-up abilities, and commitment to maintaining timely operational schedules will be crucial for success in this role. Key Responsibilities: - Purchase Order (PO) Management: Generate, issue, and meticulously track all purchase orders for raw materials, finished jewellery, and supplies. - Customer Order Coordination: Manage and track all customer-specific orders, customizations, and repair requests from initial entry to final delivery. - Vendor Communication & Follow-ups: Serve as the primary contact for suppliers and vendors. Conduct daily follow-ups on order status, delivery timelines, estimates, and resolving any discrepancies. - Sales Team Liaison: Provide regular, accurate updates to the sales team regarding the status, scheduling, and expected delivery dates of ongoing customer orders and repairs. - Logistics & Scheduling: Coordinate incoming and outgoing shipments, ensuring timely receipt and dispatch of goods and maintaining accurate delivery schedules. - Data Accuracy: Ensure all order-related data is accurately captured and maintained within the ERP or inventory management system. Qualifications Required: - Experience: Minimum 2-3 years of experience in procurement, order management, supply chain coordination, or a similar role, ideally within the retail, manufacturing, or jewellery sector. - Core Competencies: - Organizational Mastery: Exceptional ability to manage numerous orders and follow-ups simultaneously without missing deadlines or details. - Negotiation & Communication: Strong verbal and written communication skills for effective vendor relations and internal coordination. - Problem-Solving: Proactive approach to identifying supply chain issues (e.g., delays, quality concerns) and resolving them efficiently. - Attention to Detail: Meticulous approach to managing bills, POs, and complex order specifications. - Interpersonal Skills: Ability to collaborate effectively with cross-functional teams (sales, finance, inventory). - Technical Proficiency: - Proficiency in MS Office, particularly Excel for tracking and reporting. - Experience using ERP systems or dedicated order management software is essential. - Education: Graduate degree in Business Administration, Supply Chain Management, or a related field preferred.
