Job Description

Immediate Joiners required: Male Candidates

We are looking for a highly professional Administrative and Operations Specialist with excellent communication skills, a strong American English accent, and solid computer knowledge. The candidate will be responsible for managing day-to-day administrative operations and ensuring seamless interaction with a high-net-worth client base and key stakeholders.

Required Technical Skills:

  • Proficient in Microsoft Word (document formatting, headers/footers, styles)
  • Proficient in Microsoft Excel (basic formulas, formatting, filters, tables)
  • Experience using Microsoft Outlook for calendar and email management
  • Familiar with SharePoint for file storage and sharing
  • Proficient in Microsoft Teams for chat, meetings, and file collaboration
  • Hands-on experience with QuickBooks Online (invoicing, reconciliations, AP/AR)
  • Experience with AI transcription or notetaking tools (e.g., Copilot)
  • Strong typing skills (50+ WPM with low error rate)
  • Able to learn and adapt to new SaaS and workflow tools quickly

Required Communication & Interpersonal Skills:

  • Fluent in spoken English (C1/C2 level) American Accent
  • Strong written English for drafting client emails, agendas, and internal documents
  • Comfortable making cold calls to prospects and handling follow-up outreach
  • Experience with client-facing roles or customer service in a professional setting
  • Demonstrates a professional tone and etiquette in email and video calls

Required Organizational & Operational Skills:

  • Experience managing executive calendars and scheduling across time zones
  • Able to plan and book domestic and international travel
  • Excellent time management and ability to prioritize in a remote setting
  • High attention to detail in file organization, formatting, and task follow-through

Work Schedule: Monday to Friday
