Conference Production Assistant

Role Overview: As a Conference Production Assistant at Fextons, you will play a crucial role in supporting the delivery of world-class executive summits across Africa and Asia. Your precision, professionalism, and service-first mindset will be essential in ensuring the success of our rapidly expanding portfolio. Key Responsibilities: - Speaker & Delegate Coordination: - Communicate with senior-level executives to confirm agenda details, gather bios/photos, and ensure seamless onboarding. - Email Communication & Follow-Ups: - Draft, refine, and send professional emails to speakers, sponsors, and partners with impeccable accuracy. - Session Management Support: - Assist the production head with agenda research, briefing docs, panel preparation, and workflow organization. - Technical & On-Site Assistance: - Coordinate slides, conduct virtual tech checks, and provide support to the events team during conferences. - Operations & Documentation: - Maintain trackers, update CRM sheets, and ensure all production-related tasks meet timelines. Qualifications Required: - A graduate with strong written and verbal communication skills. - Detail-oriented with the ability to work calmly under tight deadlines. - Tech-comfortable with Microsoft 365, Google Workspace, Zoom/Teams. - A natural organizer who enjoys structure, processes, and problem-solving. - Professional, proactive, and committed to delivering high-quality output.
