Role Summary

Handle event enquiries, send proposals fast, follow up hard, and convert leads into confirmed business.

Key Responsibilities

• Handle enquiries via phone, email, walk-ins, portals, and referrals; share accurate package and venue details.
• Prepare and send proposals/quotations quickly; revise offers as per client requirements and approvals.
• Arrange and conduct site inspections; capture client requirements and next steps clearly.
• Follow-up daily on open enquiries and close conversions; maintain an updated lead tracker.
• Support contracting and ensure payment milestones are tracked and followed up (advance, balances).
• Coordinate internally for feasibility and service delivery: menus, layouts, AV, timing, decor, special requests.
• Update event details accurately for smooth handover and execution readiness (BEO support).
• Handle client queries politely and professionally; escalate complex issues to manager with complete context.

Must-Have Skills

• Strong communication and persuasion; confident on calls and in meetings
• High ownership of follow-ups; organized and deadline-driven
• Basic Excel and email drafting skills; comfortable with trackers
• Customer-first attitude and ability to work under pressure in peak seasons; attention to detail in event requirements and documentation

Preferred

• Experience in hotel banquets, event sales, F&B sales, or wedding planning
• Understanding of banquet terminology (pax, minimum guarantee, layouts - theatre/classroom/U-shape)
• Ability to work flexible hours on event days as per business need

KRAs / KPIs

• Qualified leads handled and proposal turnaround time (TAT)
• Conversion rate and revenue contribution from confirmed events
• Accuracy of event details and minimal client complaints due to miscommunication
• Follow-up closure rate and pipeline hygiene (updated trackers, lost reasons)
• Repeat/referral contribution through strong client servicing
