Key Responsibilities: Executive Support & Coordination: Manage the CEOs schedule, ensuring efficient planning of meetings, appointments, and travel. Oversee and organize the CEOs email communications, ensuring timely follow-ups with internal and external stakeholders. Keep the CEOs priorities, tasks, and communications structured and organized. Facilitate smooth collaboration between teams in India and the USA with overlapping working hours. Operational Oversight & Business Coordination: Oversee offshore teams across functions such as sales, order processing, accounting, and supply chain operations. Serve as the primary communication bridge between the Indian business unit and USA operations. Develop dashboards and provide analytical insights to support business performance and decision-making. Coordinate with external freelancers for marketing, promotions, design, and other project-based initiatives. Project Management & Data Analysis: Develop, oversee, and track project timelines, budgets, and milestones to ensure smooth execution. Conduct in-depth data analysis, including financial and operational insights, to support business strategies. Prepare detailed reports and presentations for the CEO and leadership team. Administrative & Team Leadership: Maintain confidentiality and handle sensitive business information with discretion. Assist in organizing internal events, team initiatives, and cultural activities. Develop and maintain relationships with external partners, including vendors, suppliers, and clients. Train, manage, and mentor team members, fostering a collaborative and high- performance work culture. Resolve team-level conflicts and promote effective communication and productivity. Qualifications: Education & Experience: Bachelors degree in Business Administration, Finance, Communications, or a related discipline. Extensive experience (minimum X years) in executive coordination, business operations, or project management. Strong background in financial analysis, bookkeeping, and accounting principles. Technical & Analytical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), Microsoft Teams , and Office 365 Online . Knowledge and experience with CRM software . Strong understanding of data visualization and experience with Power BI and Power Automate (preferred). Exceptional analytical and organizational skills with meticulous attention to detail. Soft Skills & Competencies: Excellent English language proficiency with outstanding communication skills. • Ability to multi-task, prioritize, and execute efficiently in a fast-paced environment. Strong leadership and team management experience , including conflict resolution. High level of discretion in handling sensitive and confidential information . Work Arrangement: Hybrid role based in Trichy or Chennai, India , with flexibility to work in USA business hours (80%) and maintain overlapping coordination with India-USA teams .
