Pest Control Business Administrator – Job Description

Position Overview:
The Pest Control Business Administrator is responsible for overseeing daily business operations, supporting management, coordinating with various departments, handling documentation, and ensuring smooth service delivery. This role plays a key part in improving operational efficiency, customer satisfaction, and business growth.

Key Responsibilities:1. Administrative & Office Management

  • Manage day-to-day office operations and administrative tasks.
  • Maintain records, files, agreements, contracts, and service-related documentation.
  • Prepare reports, dashboards, and MIS for management review.
  • Ensure smooth workflow between departments (Sales, Operations, HR, Finance).

2. Customer Coordination

  • Handle client inquiries, service requests, complaints, and follow-ups.
  • Coordinate scheduling of pest control services with the operations team.
  • Maintain customer databases and ensure timely renewal follow-ups.

3. Business Support & Reporting

  • Assist management in business planning, budgeting, and performance analysis.
  • Prepare monthly business performance reports (sales, operations, service quality).
  • Track pending payments, prepare invoices, and follow up with clients.

4. Compliance & Documentation

  • Ensure all pest control service reports and certificates (PCOs, MSDS, service reports) are maintained and issued correctly.
  • Monitor compliance with company policies, safety standards, and regulatory requirements.
  • Support audit activities by preparing required documentation.

5. Coordination With Field Teams

  • Communicate service schedules, route plans, and client instructions to technicians.
  • Track technician attendance, productivity, and service completion reports.
  • Ensure timely submission of service reports and feedback from field staff.

6. Vendor & Inventory Management

  • Maintain records of equipment, chemicals, and consumables.
  • Coordinate with vendors for procurement and inventory replenishment.
  • Track asset usage and maintain logs.

Skills & Qualifications:

  • Bachelor’s degree in Business Administration, Management, or related field.
  • 1–3 years of experience in business administration (pest control industry preferred).
  • Strong communication and coordination skills.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Ability to multitask, prioritize, and handle pressure.
  • Knowledge of pest control processes, service documentation, and compliance (preferred).
