Responsibilities: Data Management & Entry: Accurately enter, update, and maintain various types of data (e.g., customer information, sales orders, service requests, inventory details) into company databases, ERP systems, or spreadsheets. Ensure data integrity and consistency by performing regular data validation and cleansing activities. Documentation & Record Keeping: Prepare, organize, and maintain physical and digital files for all relevant documents, including contracts, invoices, reports, and communication records. Ensure proper archiving and retrieval of documents as needed. Operational Coordination: Coordinate with various internal departments (e.g., Sales, Logistics, Finance, Customer Service) to facilitate smooth workflow and information exchange. Assist in tracking the progress of tasks or orders and ensure timely completion. Follow up on pending tasks, queries, or escalations until resolution. Communication & Correspondence: Handle incoming and outgoing correspondence (emails, letters) related to back-office operations. Communicate effectively with internal and external stakeholders to gather information, resolve issues, or provide updates. Process Adherence & Improvement: Adhere strictly to established back-office processes, company policies, and standard operating procedures (SOPs). Identify potential bottlenecks or inefficiencies in processes and suggest improvements to enhance productivity and accuracy. Report Generation: Generate routine reports from data management systems as required by management (e.g., daily sales reports, customer data summaries, task completion status). General Administrative Support: Provide general administrative support to the department as needed, which may include scheduling, managing stationery, or coordinating small events. Confidentiality: Handle sensitive and confidential information with discretion and professionalism. Local Communication: Communicate clearly and effectively with colleagues and external parties. Fluency in Marathi and Hindi is essential for effective local interaction. Good English proficiency is also beneficial for formal correspondence and broader communication.
