Job Title: Back Office Assistant

Location: Pune, Maharashtra

Employment Type: Full-Time

Role Summary:

We are seeking a detail-oriented and proactive Back Office Assistant to support our administrative operations. The ideal candidate will be responsible for preparing quotations, following up on payments, and managing essential documentation, ensuring smooth and efficient back-office functions.

Key Responsibilities:

1. Quotation Management: Prepare accurate and timely quotations for clients based on sales team inputs and product specifications.

2. Payment Follow-Up: Monitor outstanding payments, send reminders to clients, and coordinate with the finance department to ensure timely collections.

3. Inventory Management: Monitor and maintain optimal inventory levels by tracking stock movements, coordinating replenishment, and reconciling discrepancies.

4. Document Handling: Organize and maintain company documents, including invoices, purchase orders, and client communications, ensuring easy retrieval and confidentiality.

5. Data Entry: Input and update client and transaction details in the company database with high accuracy.

6. Communication: Liaise with clients and internal departments to address inquiries and provide necessary information.

7. Reporting: Generate periodic reports on sales, payments, and other relevant metrics for management review.

Qualifications:

Experience: 1–3 years in a similar administrative or back-office role.

Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with Tally ERP systems.

Soft Skills: Strong organizational skills, attention to detail, effective communication abilities, and a proactive approach to problem-solving.

Preferred Attributes:

Experience in the furniture or interior solutions industry.

Knowledge of inventory management and basic accounting principles.

Ability to multitask and prioritize tasks in a fast-paced environment.
