Job Title: Associate Commercial Executive
Location: Kochi Field office (Kerala)
Reporting To: Regional lead Finance
Role Overview
The Field Office Account Executive ensures accurate financial operations, compliance, and administrative support at the branch level. This role bridges field activities with central finance, maintaining transparency, efficiency, and control across all accounting and operational functions.
Key Responsibilities
Accounting & Financial Operations
- Verify and process supplier and freelancer bills via KOOL platform, ensuring accuracy and compliance with POs and assignments.
- Review TA/DA claims for freelancers and field executives, validating supporting documents and calculations.
- Monitor and control field office expenses against approved budgets.
- Compile monthly fund requirements and initiate advance requests.
- Track and reconcile respondent incentives; supervise storekeeper activities and conduct monthly stock audits.
- Maintain provisions for unbooked expenses and update shared statements with HO monthly.
- Track fixed assets and conduct annual physical verification.
Procurement & Vendor Management
- Assist in procurement: collect vendor quotes, negotiate terms, finalize orders, and set up POs.
- Facilitate new vendor registrations (freelancers and suppliers).
- Renew supplier agreements and reconcile vendor accounts.
- Resolve open POs, GST discrepancies, and support audit processes.
Administration & Compliance
- Oversee daily office maintenance and general upkeep.
- Manage non-field supplier POs and ensure timely payment of utility bills (electricity, telecom, courier, etc.).
- Coordinate bookings for hotels and cabs as needed.

- Renew local compliance documents (PE, labor licenses) as required.
Documentation & Audit Support
- Ensure proper record-keeping of financial and administrative documents.
- Provide timely support during internal and external audits.
Skills & Competencies
- Strong attention to detail and numerical accuracy
- Proficiency in accounting platforms (e.g., KOOL/Maconomy)
- Vendor negotiation and relationship management
- Knowledge of local compliance and labor regulations
- Effective communication and coordination skills
- Ability to multitask and manage priorities independently
