Job Description

Role & responsibilities

We are seeking a highly organized and detail-oriented individual to join our team as a Workfront Tool Administrator. In this role, you will be responsible for managing and optimizing our Workfront tool, ensuring efficient operation and customization to meet the needs of our organization.

Key Responsibilities:

  • New User/Deactivate User Management:

    • Manage user accounts including creation, deactivation, and permissions adjustments.
  • Change Notification Settings:

    • Configure and update notification settings for users and teams as required.
  • License Management:

    • Regularly assess and optimize Premium and free licenses based on usage and needs.
  • Team Management:

    • Add or remove users from teams and adjust team structures as necessary.
  • Home team Adjustment:

    • Customize and adjust the default home team settings.
  • Access Level Administration:

    • Assign or change access levels for users as per their roles and responsibilities.
  • Layout Template Management:

    • Assign or switch layout templates in group settings to optimize user interface.
  • Team and Subgroup Management:

    • Manage teams and subgroups to align with company structure and project requirements.
  • Notification Settings:

    • Configure department and group notification settings to ensure effective communication.
  • Customization:

    • Create, modify, or delete functions and custom forms within layout templates as needed.
  • Integration and App Installation:

    • Install and configure Workfront notifications and smartphone apps for seamless integration.
  • Data Management:

    • Manage project data including adjusting statuses, adding portfolios, and restoring deleted data.
  • Data Cleanup and Maintenance:

    • Regularly clean up and delete old or unnecessary data to optimize system performance.
  • Naming Conventions:

    • Maintain clean and consistent nomenclature across all areas for multiple companies.
  • Workflow Management:

    • Adjust approval workflows and create or modify request queues as required.
  • Design, implement, and manage request queues, routing rules, and approval processes.
  • Scheduling and Profile Creation:

    • Create schedules on groups, develop timesheet profiles, and establish milestone paths.
  • Custom Form and Field Management:

    • Manage and maintain cleanliness of custom forms, fields, and sharing settings.
  • Reporting and Documentation:

    • Generate specialized reports using HTML and document all implemented processes thoroughly.
  • Build, enhance, and maintain dashboards and reports for leadership and operational teams.
  • User Training, Support & Adoption

    • Provide user training on new features, processes, and best practices.
    • Troubleshoot issues, manage support ticket queues, and coordinate with Workfront Support when required.

Qualifications:

  • Bachelors degree in related field (or equivalent experience).
  • Proven experience with Workfront tools
  • Strong understanding of system administration and customization.
  • Excellent communication and organizational skills.
  • Ability to work independently and as part of a team.
