Job Summary:

The Admission Executive is responsible for handling the admission and registration of patients efficiently and courteously. This role involves coordinating with doctors, nursing staff, billing, and insurance departments to ensure a smooth and accurate admission process while maintaining high standards of patient service and data confidentiality.

Key Responsibilities:

1. Patient Admission & Registration

  • Greet and assist patients or their relatives courteously at the admission counter.
  • Register patients accurately in the Hospital Information System (HIS).
  • Collect and verify necessary documents (ID proof, referral letters, insurance cards, etc.).
  • Ensure correct entry of patient demographics, consultant details, and admission category (cashless, TPA, corporate, etc.).
  • Allocate beds as per hospital policy and patient requirements.

2. Coordination & Communication

  • Coordinate with doctors, nursing staff, and ward in-charges for bed availability and patient movement.
  • Communicate effectively with the billing, insurance, and medical records departments to ensure smooth admission and discharge processes.
  • Provide patients and families with relevant admission information, including estimated charges and hospital policies.

3. Insurance & Billing Support

  • Assist patients in understanding insurance/TPA formalities.
  • Liaise with TPA/Corporate desk for pre-authorization and documentation.
  • Update financial details and deposits as per hospital procedures.

4. Record Keeping & Documentation

  • Maintain proper and accurate records of all admissions and transfers.
  • Ensure all admission forms are duly signed and filed.
  • Generate and share daily admission reports with the concerned departments.

5. Customer Service & Quality

  • Provide excellent customer service to patients and visitors.
  • Handle patient queries, complaints, and feedback with professionalism and empathy.
  • Adhere to hospital policies, procedures, and confidentiality standards.

Qualifications & Skills:

  • Education:

    Graduate in any discipline (preferably BBA, BHM, or equivalent).
  • Experience:

    1-3 years of experience in hospital front office/admissions or related healthcare service role.
  • Skills Required:

    • Excellent communication and interpersonal skills.
    • Proficiency in MS Office and Hospital Information Systems.
    • Good understanding of hospital admission and insurance procedures.
    • Attention to detail and multitasking ability.
    • Customer-centric attitude and ability to handle stressful situations calmly.
