Overview:
The Office Administrator ensures smooth daytoday operations of the office by managing clerical, logistical, and support tasks.
Key Responsibilities:
- Recordkeeping: Maintain employee records, attendance, leave balances, and HR files.
- Correspondence: Handle incoming/outgoing mail, emails, and distribute documents to relevant staff.
- Scheduling: Coordinate meetings, appointments, and conferenceroom bookings; manage executive calendars.
- Visitor management: Greet visitors, verify identities, and direct them to appropriate personnel.
- Supply management: Monitor office supplies inventory; order stationery, equipment, and restock as needed.
- Facility upkeep: Ensure cleanliness, security, and proper functioning of office equipment (printers, copiers, phones).
- Document processing: Prepare reports, presentations, and spreadsheets; handle data entry and filing (physical & digital).
- Travel & logistics: Arrange travel itineraries, accommodations, and visas for staff; coordinate transport and accommodation for visitors.
- HR support: Assist with onboarding new hires, exit formalities, and maintain HR notice boards.
- Communication: Serve as point of contact for internal/external queries; forward calls and messages promptly.
- Event coordination: Organize office events, meetings, and training sessions; manage catering, seating, and AV needs.
Required Qualifications:
- Education: Bachelors degree in Business Administration, Office Management, or related field (or equivalent experience).
- Experience: 12years of administrative experience preferred.
- Skills: Excellent communication, MS Office/Google Workspace proficiency, organizational ability, and attention to detail.
