As an Admin (Lady) specializing in Documentation & Project Coordination at our company in Thirumudivakkam, Chennai, your role involves managing project documentation, assisting in project coordination, and handling day-to-day office administration. Your excellent organizational skills, good communication abilities, and capability to support project teams in achieving deadlines and efficiency will be key to success in this position. **Key Responsibilities:** - Prepare, maintain, and organize project-related documents, reports, and correspondence. - Maintain filing systems (both digital and physical) for contracts, invoices, and project records. - Ensure timely submission of project documentation to clients and internal departments. - Draft letters, official emails, and other communication material. - Assist project managers in planning, scheduling, and monitoring project activities. - Follow up with vendors, clients, and internal teams for project updates. - Track project deadlines and support in preparing progress reports. - Coordinate meetings, prepare minutes of meetings (MoM), and circulate action points. - Handle routine office administration, including correspondence, visitor management, and basic HR support. - Maintain inventory of office supplies and ensure smooth day-to-day operations. - Support management with travel arrangements, appointments, and calendar coordination. - Assist in preparing presentations, proposals, and reports as required. **Qualifications & Skills:** - Bachelors degree (preferred in Administration, Commerce, or related field). - 2-5 years of experience in administration, documentation, or project coordination. - Proficiency in MS Office (Word, Excel, PowerPoint) and basic documentation software. - Strong organizational and multitasking abilities. - Excellent written and verbal communication skills. - Ability to work independently with minimal supervision. - Professional, positive, and team-oriented attitude.
