Responsibilities

• Prepare and submit AIA G702/G703 billing applications in coordination with Civil Engineers, Project Managers, and the Controller.
• Maintain and track project retainage (5–10%) per contract terms; monitor release schedules and follow up with GCs to ensure timely collections.
• Create customer invoices for builders, GCs, and commercial clients, ensuring accuracy with contracts, approved COs, and installation/completion schedules.
• Reconcile incoming payments and apply them accurately against job cost reports and customer accounts.
• Perform and review credit card reconciliations; ensure transactions are posted to the correct job, vendor, or overhead category.
• Support month-end close activities — AR reconciliation, retainage reconciliation, credit card reconciliation, and related accounts.
• Maintain lien waiver documentation (conditional and unconditional) in alignment with GC payment requirements.
• Prepare and analyze AR Aging Reports; escalate overdue payments, retainage delays, or disputes to the Controller.
• Coordinate with Civil Engineers and PMs to validate Change Orders and ensure correct incorporation into project billing.
• Provide weekly updates to management regarding cash flow, collections status, and forecasted receivables.
• Track tariff/material price adjustments based on contract terms and maintain compliance.

Key Skills & Competencies

AIA Billing & Construction AR

• Strong experience in AIA G702/G703 billing, retainage management, lien waivers, and construction AR processes.
• Understanding of CO approvals, installation-based billing, and multi-phase project billing.

SAGE Intacct (Highly Preferred)

• Experience using AR/AP, GL, Projects/Job Costing modules.
• Ability to:
• Create & manage customer invoices, retainage schedules, and job cost reports
• Generate dashboards, AR Aging, job profitability, and financial reports
• Handle reconciliations and period-end financial close
• Understanding of integrating Sage with external systems (Moraware, Power BI, etc.)
• Experience exporting and analyzing Sage data for MIS reporting.

Moraware (Mandatory)

• Experience with:
• Job scheduling
• Inventory tracking
• Job status updates
• Estimation and job workflow
• Integration of Moraware output with accounting systems

Other Required Skills

• Strong analytical and reconciliation skills.
• High attention to detail and accuracy.
• Excellent communication & follow-up skills with GCs, vendors, and internal teams.
• Ability to manage multiple projects, deadlines, and billing schedules.
