Application ProcessingFill online visa forms (DS-160, DS-260, IMM, Schengen forms, etc.). Upload required documents to embassy/VFS portals. Schedule biometrics or visa interviews. Arrange the application file according to embassy requirements. D. Payments & AppointmentsAssist clients in making visa fee payments. Book VFS/biometric appointments or embassy interviews. Save and track all payment receipts and confirmations. E. Follow-ups & TrackingMonitor application status on embassy portals. Send reminders for missing or pending documents. Coordinate with consulates, VFS, or courier services to track passports. F. Compliance & Quality ChecksConduct a final review before application submission. Check document validity, formats, translations, and consistency. Verify financial proofs meet visa requirements. G. Data Entry & Record MaintenanceUpdate CRM systems with client information and progress. Maintain case notes, tasks, and document logs. Store all client data securely. H. Post-Decision SupportInform clients of their visa result. Provide guidance on next steps: Travel preparations Reapplication advice (if refused) Appeal or reconsideration options Assist with post-visa documentation if required. I. Administrative TasksDraft emails, prepare invoices, and send reminders. Arrange courier services for passport submission/collection. Update internal forms, templates, and checklists.
