Store Executive

Position Overview

The Store Executive/Assistant is responsible for managing the receipt, storage, issuance, and documentation of materials, tools, components, and spare parts used in wind farm construction and O&M activities.

The role ensures accurate inventory control, timely material availability, proper documentation, and compliance with safety and quality standards at wind project sites or central warehouses.

Roles and Responsibilities:

1. Material Receipt & Inspection

• Receive incoming materials, components, consumables, tools, and spare parts for wind turbine and balance-of-plant (BOP) activities.
• Verify quantity, specifications, and condition of received items against purchase orders and delivery challans.
• Ensure proper unloading and safe handling of heavy and delicate components.

2. Storage & Inventory Management

• Maintain systematic storage of materials with proper labelling, binning, and segregation (mechanical, electrical, hydraulic, safety items, tools, consumables).
• Ensure safe storage of critical wind turbine components such as sensors, pitch motors, hydraulic parts, lubricants, fasteners, SCADA items, etc.
• Monitor stock levels and maintain minimum stock and re-order points based on consumption patterns.
• Perform regular physical stock verification and cycle counts.

3. Material Issuance & Tracking

• Issue materials to site/O&M teams against material requisition slips or job cards.
• Track material consumption for each turbine, project, or maintenance activity.
• Maintain accurate records of all issues and returns in the inventory management system or ERP.
• Ensure timely availability of tools, PPE, and spare parts for maintenance and project activities.

4. Documentation & ERP/SAP Management

• Update ERP or inventory software (SAP /Tally) for receipts, issues, transfers, and stock adjustments.
• Maintain GRN, material issue notes, stock registers, delivery notes, and daily activity reports.
• Coordinate with finance for invoice verification and reconciliation of material records.
• Prepare monthly stock reports and audit documentation.

5. Store Safety & Compliance

• Ensure proper housekeeping, storage conditions, and safety practices inside the store and yard area.
• Follow HSE policies, PPE requirements, and safe handling procedures for hazardous materials (lubricants, chemicals, batteries).
• Ensure compliance with ISO/quality procedures for documentation and material traceability.

6. Coordination & Support

• Coordinate with procurement, logistics, transporters, site engineers, and O&M teams for material planning and delivery.
• Support material dispatch to wind farms or other project locations, including packing and documentation.
• Report shortages, damages, and discrepancies to supervisors for timely resolution.
• Assist during internal/external audits and inventory reviews.

Skills & Competencies

• Strong record-keeping and documentation skills
• Knowledge of inventory management techniques
• Basic understanding of wind turbine spare parts and tools (preferred)
• Good communication and coordination skills
• Ability to handle heavy and sensitive materials safely
• Computer literacy (MS Excel + ERP)

Qualifications

• Graduate or Diploma in Stores/Logistics/Supply Chain/Engineering or relevant field.
• 28 years of experience in store/inventory management, preferably in wind, renewable energy, power, or engineering industries.
• Experience with ERP/warehouse management systems.
• Basic technical knowledge of mechanical/electrical components is preferred.
