Senior Associate North America Payroll (USA & Canada)

Role & responsibilities

The Senior Associate will manage end-to-end payroll processing for USA and Canada, ensuring timely, accurate, and compliant payroll delivery. This role involves close collaboration with HR, HR Shared Services, and Finance, covering data collection, payroll processing, tax compliance, accounting, and year-end reporting.

Key Responsibilities

1. Pre-Payroll Activities

  • Collect payroll data from HR, HRSS, and other business units across USA & Canada.
  • Process expense reimbursements via Concur.
  • Manage employee maintenance in Payroll and Expense management tools.
  • Review and validate new hire documentation for both regions.
  • Review and validate all payroll inputs (adjustments, overtime, commissions, benefits, etc.).

2. Payroll Processing

  • Accurately enter and validate payroll data in the system for both regions.
  • Review output reports and perform variance analysis.
  • Resolve discrepancies promptly.

3. Tax & Compliance

  • Review federal, state/provincial tax calculations (CPP, EI, QPP; FICA, FUTA/SUTA).
  • Ensure compliance with federal/state (USA) and federal/provincial (Canada) regulations.
  • Coordinate with internal teams to resolve payroll and tax issues.

4. Month-End & Quarter-End Accounting

  • Collaborate with Finance for payroll-related accounting and tax entries.
  • Prepare journal entries and support reconciliations.

5. Quarterly & Year-End Reporting

  • Assist with quarterly/year-end payroll reports and reconciliations.
  • Support preparation and filing of T4/T4A (Canada), W-2 (USA), and other statutory forms.

6. Payroll Administration & Issue Resolution

  • Address payroll queries from employees in USA & Canada.
  • Support internal/external audits and ensure compliance with labor laws.
  • Recommend process improvements for accuracy and efficiency.

Preferred candidate profile

  • 67 years of North America payroll experience; minimum 3 years each in USA and Canada.
  • Strong knowledge of USA and Canada payroll laws, taxes, and compliance.
  • Experience with expense management (e.g., Concur).
  • Proficiency in variance analysis and payroll reconciliation.
  • ADP experience preferred.
  • Ability to collaborate with HR and Finance stakeholders.
  • Strong problem-solving and communication skills.

Good to Have

  • Experience with year-end filings (T4/T4A, W-2).
  • Knowledge of HRIS integrations and expense tools.
