Job Description

Job Summary

The Support Executive will support backend sales operations, including lead tracking, sample coordination, quotation preparation, and CRM updates. The role ensures smooth inter-departmental coordination, timely customer communication, and accurate documentation to enhance sales efficiency and customer experience.

Key Responsibilities

Sales Support & Coordination

  • Support entire order lifecycle tracking — from inquiry to dispatch to payment.
  • Maintain and update daily master sheet of sales & business development (leads, calls, sample tracking, meetings, follow-ups).

· Prepare Quotations & proposals, Sample requisitions, Order Confirmations, Proforma Invoices & maintain technical brochures.

  • Enter inquiries and quotations in ERP system.
  • Coordinate sample dispatches and tracking with logistics.
  • Respond to basic email queries and acknowledgments on behalf of the sales team.
  • Coordinate and Record customer feedback on samples and quotations submitted.
  • Maintain calendar of meetings, follow-ups, and sample trials for each client.
  • Follow compliance checklist for every new order.

Sample & Trial Management

  • Coordinate end-to-end sample inward/outward processes.
  • Communicate with customers regarding sample dispatch details, feedback, and approvals.

· Maintain Sample Master sheet and approval/rejection records; Maintain & Analyse sample-to-order conversion data.

CRM & Funnel Management

· Update ERP system & Tag prospects by status (Lead / Sample Sent / Trial / Closure / Out of Scope)

  • Generate weekly dashboards and activity reports.
  • Manage sales & dispatch documentation.
  • Maintain ISO & Ecovadis-related documentation.
  • Conduct weekly reviews of follow-up tasks.

Meeting & Visit Documentation

  • Prepare Minutes of Meetings (MOM) post internal/client discussions.
  • Log all prospect interactions in the Master Excel Sheet.

· Manage Air Tickets, Hotel Bookings, Visa assistance

  • Coordinate and schedule exhibitions, visits, and conferences.

Sales Target Support

  • Track monthly sales targets vs. achievements; raise alerts to HOD.
  • Follow up internally on pending POs, invoices, and dispatches.

Internal Team Liaison

  • Coordinate between Sales Head, R&D, Production, and Logistics for customer-specific requirements.
  • Maintain clarity between new business development efforts and regular sales orders.

Job Types: Full-time, Permanent

Pay: ₹20,000.00 - ₹30,000.00 per month
