Job Description

Department: Events / Marketing / Administration
Reports To: Event Manager / Director / Management

Job Summary:

The Event Coordinator is responsible for planning, organizing, and executing events from conception through completion. This includes coordinating with clients, vendors, venues, and internal teams to ensure all aspects of an event run smoothly, on time, and within budget.

Key Responsibilities:

  • Plan and coordinate all aspects of events including logistics, budgets, vendors, and schedules.
  • Work closely with clients or management to understand event objectives and requirements.
  • Identify suitable venues and negotiate contracts.
  • Coordinate with caterers, decorators, sound & lighting teams, security, and other service providers.
  • Prepare event proposals, budgets, and timelines.
  • Oversee event setup, execution, and breakdown.
  • Manage on-site event operations to ensure everything runs smoothly.
  • Handle guest lists, invitations, and registrations.
  • Monitor event expenses and ensure cost efficiency.
  • Evaluate event success through feedback and post-event reports.
  • Maintain strong relationships with vendors, sponsors, and partners.
  • Ensure compliance with safety, legal, and company policies during events.

Qualifications & Skills:

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or related field (preferred).
  • Proven experience as an Event Coordinator or in a similar role.
  • Excellent organizational and multitasking skills.
  • Strong communication and negotiation abilities.
  • Ability to work under pressure and meet tight deadlines.
  • Attention to detail and problem-solving attitude.
  • Proficient in MS Office and event management software/tools.
  • Flexibility to work evenings, weekends, and travel as required.
