Job Overview
We are seeking a dynamic and organized Receptionist to be the welcoming face of our organization. Duties

  • Greet visitors, clients, and staff with professionalism and warmth, creating a positive first impression
  • Manage multi-line phone systems efficiently, directing calls accurately and courteously
  • Handle all front desk responsibilities including answering inquiries, scheduling appointments, and providing information
  • Maintain organized filing systems, data entry records, and manage correspondence with precision
  • Use computer skills to update calendars, prepare documents, proofread materials, and support office management tasks
  • Support bookkeeping activities using QuickBooks or similar software to assist with invoicing and financial record-keeping
  • Assist with administrative tasks such as photocopying, faxing, mailing, and maintaining office supplies

Qualifications

  • Proven experience in office management or administrative support roles with clerical experience preferred
  • Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Exceptional phone etiquette and customer service skills to handle inquiries professionally
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience with front desk operations in medical or dental settings is a plus but not required
  • Familiarity with data entry, filing systems, proofreading, and basic bookkeeping using QuickBooks or similar tools
  • Personal assistant experience or calendar management skills are advantageous for supporting executive schedules
