Job Overview: The Receptionist will be the first point of contact for all visitors and clients to our office. This role involves providing administrative support to the team, answering and directing phone calls, managing office supplies, and maintaining a welcoming and organized front desk area. The Receptionist will play a key role in creating a positive first impression and ensuring the smooth operation of the office. Key Responsibilities: Front Desk Management: Greet visitors, determine the nature of their visit, and direct them to the appropriate person or department. Ensure visitors are logged into the system and provided with necessary materials or security badges. Phone and Email Management: Answer, screen, and forward phone calls, and respond to inquiries via email in a professional and timely manner. Administrative Support: Provide general administrative support, including scheduling appointments, coordinating meetings, and maintaining office calendars. Mail and Package Handling: Receive and sort incoming mail and packages. Distribute them to the appropriate recipients and manage outgoing mail. Office Supplies and Inventory: Monitor office supplies and place orders as needed. Maintain a well-stocked, organized reception area. Data Entry and Record Keeping: Assist with maintaining accurate and up-to-date records and filing systems. Customer Service: Provide exceptional service to clients, visitors, and employees, ensuring a professional, courteous, and helpful environment at all times. General Office Support: Assist with other administrative tasks as required, including data entry, document preparation, and assisting with special projects. Qualifications:Education: High School diploma or equivalent (Associate's degree or higher is a plus). Experience: Previous experience in a receptionist, front desk, or administrative role preferred. Skills:Excellent communication and interpersonal skills. Strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment (e.g., phone systems, fax, copier). Ability to multitask and handle various duties efficiently in a fast-paced environment. Professional appearance and demeanor.
