Job Description

Greet and welcome visitors as the first point of contact, ensuring a positive and professional impression. Answer, screen, and forward incoming phone calls, take messages, and respond to inquiries courteously. Direct visitors and callers to the appropriate person, department, or office location. Maintain visitor logs and issue visitor badges to ensure office security and monitor access. Manage the front desk area, keeping it tidy and stocked with necessary materials like forms, brochures, and stationery. Receive, sort, and distribute mail and packages to the correct recipients within the organization. Schedule and coordinate appointments, meetings, and travel arrangements for employees or clients. Provide general administrative support, such as photocopying, filing, data entry, drafting emails, and preparing documents. Monitor and order office supplies to ensure smooth office operations. Assist with special tasks, like helping during hiring processes by scheduling interviews or supporting other departments as needed. Maintain telephone and security systems, following safety procedures and monitoring access control. Handle customer or client inquiries professionally, providing accurate information or redirecting as necessary.
