Job Summary:

We are looking for a motivated Purchase & Documentation Executive to support our Quality Assurance and Purchase Department. The ideal candidate will handle procurement, vendor coordination, documentation, and compliance activities, ensuring efficient supply chain operations and adherence to company policies.

Key Responsibilities:

Purchase Management

• Identify and source vendors within India for local purchases.
• Prepare and manage all documentation for import shipments.
• Coordinate with suppliers and internal departments to ensure seamless purchase operations.
• Create, issue, and track purchase orders to ensure accuracy and timely deliveries.

Forecast & Inventory Coordination

• Coordinate with the stock, production, and R&D teams to maintain adequate inventory levels.
• Support forecast planning and ensure material availability as per production requirements.
• Monitor and report stock deviations versus forecasted requirements.

Quotation Preparation

• Prepare vendor quotations for various company needs.
• Conduct price comparison and ensure cost-effective procurement.
• Maintain quotation records and vendor databases.

Tour Bill & Conveyance Verification

• Review and verify sales team tour bills and conveyance claims as per HR policy.
• Prepare and maintain conveyance sheets for the sales department.
• Ensure proper documentation and timely reimbursement processing.

Documentation & File Maintenance

• Maintain up-to-date and organized files for purchase, sales, and journal entries.
• Manage and safeguard important company documents for internal audit and compliance.
• Support QA documentation requirements as needed.

Purchase Logistics Management

• Oversee logistics and transportation related to purchases.
• Coordinate with transporters and vendors for cost-effective and timely delivery.
• Track shipments and resolve logistics-related issues promptly.

Required Skills & Competencies:

• Strong knowledge of purchase and procurement procedures.
• Experience in import/export documentation (preferred).
• Proficiency in MS Office and Tally/ERP systems.
• Excellent communication and coordination skills.
• Attention to detail with strong organizational abilities.
• Knowledge of HR policy-based expense verification (added advantage).
