Job Description

The Project Management Coordinator cum Assistant to the Director will be responsible for providing comprehensive support to the Director in day-to-day operations, project coordination, communication handling, and administrative management. The role requires strong organizational skills, the ability to multitask, and a high level of professionalism. The candidate will act as a bridge between the Director, internal departments, clients, and external stakeholders to ensure smooth project execution and timely delivery.

Key Responsibilities:

1. Project Coordination

  • Assist in planning, scheduling, and monitoring project activities across multiple ongoing assignments.
  • Track project progress, milestones, timelines, and deliverables, and escalate delays proactively.
  • Maintain and update project documentation, including reports, MOMs (Minutes of Meetings), schedules, and trackers.
  • Coordinate with internal teams (technical, operations, HR, finance, procurement, etc.) for project-related requirements.
  • Support in preparing project progress reports, dashboards, and presentations for internal and client meetings.
  • Ensure project compliance with organizational processes, guidelines, and standards.

2. Assistance to the Director

  • Manage the Directors calendar, appointments, travel plans, and meeting schedules.
  • Prepare briefing notes, summaries, and follow-up action lists for the Director.
  • Handle confidential information and ensure discretion at all times.
  • Coordinate and communicate on behalf of the Director with clients, vendors, and internal teams.
  • Draft emails, letters, presentations, and official communication for the Director.
  • Assist in strategic planning tasks, business analysis, and performance monitoring.

3. Administrative & Documentation Support

  • Manage documentation, files, agreements, and project records in a structured manner.
  • Support in data analysis, MIS reports, and monthly performance summaries.
  • Assist in procurement and vendor coordination as required.
  • Ensure timely submission of reports to clients and internal departments.

Required Qualifications & Skills:

  • Bachelors degree in Engineering/Management/Commerce or a related field.
  • 25 years of experience in project coordination, executive assistance, or administrative operations.
  • Strong communication skills (written & verbal).
  • Proficiency in MS Office (Excel, PowerPoint, Word), project tracking tools, and basic document control.
  • Excellent organizational and multitasking abilities.
  • Ability to work under pressure and meet deadlines.

Note: Candidate must have knowledge in Power Distribution and Transmission.
