Job Description

IFR Stock Register:

  • Maintain and update the IFR Stock register as required.

Independent Decision Making:

  • Make independent decisions related to site operations and address queries or concerns promptly.

Form A Preparation:

  • Accurately prepare Form A with employee details such as Name, Date of Birth (DOB), Date of Joining (DOJ), Aadhar Card Number, Phone Number, Email ID, UAN number, Bank Details, Designation, and Exit Date.

Summary Sheet Preparation:

  • Prepare the Summary sheet and obtain approval from the Site HR.

EP Number and Gate Pass Procedure:

  • Prepare EP numbers and handle gate pass procedures, ensuring timely cancellation for departed employees.

Wage Register Preparation:

  • Prepare the wage register based on approved summary sheets and timesheets, and share it with the Admin/HR department.

HR Compliance Documents:

  • Prepare HR Compliance Documents including Wage Register, Attendance Register, Master Sheet, and Summary Sheet for each plant.
  • Complete signing and stamping procedures for HR compliance documents with the respective Site HR.
  • Submit HR compliance documents on the portal as required, or do the email to the respective HR.

Leave Coordination:

  • Coordinate with Site HR regarding leave plans to ensure continuity in site operations.

Backup Planning:

  • Ensure delegation of responsibilities to another person during planned absences to maintain site management continuity.

Communication and Reporting:

  • Act as the primary liaison between the project, Recruitment team, and other departments.
  • Ensure clear and consistent communication across sites.
  • Prepare and distribute regular status reports to Admin/HR Department, providing updates on site progress, issues, and changes.

Site Management:

  • Manage daily site operations, ensuring safety, efficiency, and adherence to project plans and standards.
  • Conduct regular site visits to monitor progress, address issues, and maintain compliance.

Quality Control and Compliance:

  • Monitor site work to ensure adherence to quality standards and project specifications.
  • Address and resolve employee-related queries promptly.

Budget and Financial Management:

  • Track and manage project budgets, implementing cost control measures to prevent overruns.
  • Coordinate with vendors and subcontractors to ensure timely service and material delivery.

Documentation and Record Keeping:

  • Maintain accurate records of all project activities, communications, and decisions.
  • Ensure project documentation is up-to-date and accessible to relevant team members and stakeholders.
  • Manage documentation related to safety inspections, permits, and regulatory approvals.

Site Visitation:

  • Visit Site HR offices and government offices as necessary.

Coordinate with Site Engineers:

  • Coordinate with the site engineers and maintain their records of Leave, left, resignation etc.
