Project Controller - IT Infra

Note - We are alternate Saturdays' half day working (1st,3rd &5th)

As part of Smartworks IT Project Controller, you will oversee the planning, execution, and delivery of IT projects within a managed office space environment. This role involves managing resources, timelines, budgets, and communication to ensure projects align with business goals and are completed successfully. Key responsibilities include defining project scope, managing risks, and ensuring all deliverables meet quality standards and stakeholder expectations.

Responsibilities:

• Project Planning and Execution:

Based on the various data points captured from the design, projects and vendor teams, you will be defining the IT project scope, goals, and timelines, creating comprehensive project plans, and managing resources (including both internal and external teams & vendors).

• Stakeholder Management:

Collaborating with various stakeholders, including design, QA, MEP and Projects team members, sales team, clients/SPOCs, and vendors, to ensure clear communication and alignment on project goals, e.g., passive cabling work, active network setup, CCTV and access control systems, etc.

• Communication and Reporting:

Providing regular project status updates to stakeholders, escalating issues as needed, and documenting project progress and outcomes. We already have an in-house project management SaaS platform which tracks and controls all stages of the project life cycle. Timely and accurate updates on this platform are a key responsibility.

Skills:

• Technical Proficiency:

Experience with any project management tools (e.g., Jira, Asana) is an added advantage. The candidate must have a clear understanding of IT network architecture, ITIL framework recommendations for designing data centre, server & hubs rooms, passive and active network setup, etc.

• Project Management Methodologies and Documentation:

Familiarity with both Agile and Waterfall methodologies is preferred. Good experience with MS Excel for general MIS and project documentation, and tracking. You will be responsible for the on-demand project status dashboard from the IT infrastructure project perspective.

• Communication Skills:

Excellent written and verbal communication skills to effectively interact with diverse stakeholders.

• Leadership and Team Management:

Ability to lead and motivate teams, delegate tasks, and foster a collaborative environment.

• Adaptability and Analytical Skills:

Ability to adjust to changing priorities and manage projects in a dynamic environment. Temperament to resolve project issues, analyse data, and make informed decisions while adjusting the ever-changing priorities and manage projects in a dynamic environment.

• Industry Knowledge:

Understanding of coworking space operations, IT governance, data security, and relevant industry standards.

Qualifications:

• Bachelors degree in computer science, Information Technology, or a related field.
• Relevant project management certifications (PMP, PRINCE2) preferred.
• Proven experience in IT project management, with a track record of successfully delivering projects on time and within budget.
• Experience in the coworking industry is a plus.
