Position Overview:

We are seeking an experienced Procurement Manager with a strong hotel background to oversee purchasing activities, supplier management, and strategic sourcing for our hospitality and real estate projects. The ideal candidate must have prior experience in hotel pre-openings, vendor development, contract negotiations, and sourcing FF&E (Furniture, Fixtures & Equipment), OS&E (Operating Supplies & Equipment), and services required for hotel and resort operations.

Key Responsibilities:

Strategic Sourcing & Vendor Management:

Identify, evaluate, and onboard vendors specializing in hotel-grade FF&E, OS&E, food & beverage, housekeeping, engineering supplies, spa & wellness equipment, etc.

Build and maintain strong relationships with vendors, negotiating the best prices, payment terms, and quality assurances.

Procurement Planning:

Forecast procurement needs for hotels, retreats, and residential developments based on operational and pre-opening project timelines.

Work closely with the Project, Operations, Finance, and Design teams to ensure procurement aligns with budgets and timelines.

Contract Negotiation:

Draft, review, and negotiate purchase orders, service contracts, and supply agreements.

Ensure compliance with company policies, hospitality industry standards, and legal frameworks.

Inventory and Cost Control:

Implement procurement strategies that optimize inventory levels without overstocking.

Continuously monitor costs and suggest ways to optimize procurement spending while maintaining quality standards.

Quality Assurance:

Ensure all procured goods and services meet specified quality and brand standards suitable for luxury hospitality operations.

Conduct regular audits and quality inspections for critical purchases.

Compliance and Documentation:

Maintain accurate procurement records, vendor contracts, and payment schedules.

Ensure all purchases adhere to sustainability practices wherever possible, in line with Ridhira Livings eco-conscious brand philosophy.

Team Collaboration:

Coordinate with the Projects, Finance, Operations, and Design/Interiors teams to ensure seamless procurement operations.

Lead a small procurement support team, guiding them on sourcing best practices.

Candidate Profile:

Experience: 4+ years of relevant experience in procurement, preferably from luxury hotel/resort chains (pre-opening project experience preferred).

Educational Qualification: Bachelor's Degree in Hotel Management / Business Administration / Supply Chain Management / or a related field. MBA preferred.

Industry Exposure: 5-star hotels, resorts, boutique hospitality, or hospitality real estate.

Technical Skills:

Strong knowledge of procurement systems (like IDS, Oracle, SAP, Material Control).

Advanced proficiency in MS Excel and procurement analytics.

Competencies:

Excellent negotiation and vendor management skills.

Strong understanding of hospitality operating standards (especially procurement related to F&B, housekeeping, engineering, and wellness departments).

Analytical thinker with an eye for detail and cost optimization.

Proactive, deadline-driven, and able to multitask across multiple projects.

Excellent written and verbal communication skills.
