Job Title: Bid & Proposals – Pre-Sales Executive

Location: Bangalore or Chennai (Offshore Reporting)
Job Type: Full-time

Job Summary:

The Bidding Coordinator plays a key role in managing and coordinating the preparation and submission of bids and proposals for new business opportunities. This role involves working closely with internal departments, external partners, and clients to ensure all bid documentation is complete, accurate, and submitted on time.

Key Responsibilities:

  • Coordinate and manage the full lifecycle of bid submissions, including RFIs, EOI, RFPs, RFQs, and tenders.
  • Review bid requirements, identify deliverables, and create a bid plan and schedule.
  • Collaborate with cross-functional teams (e.g., sales, finance, technical) to gather relevant information for proposals.
  • Draft, format, and edit proposal documents, ensuring consistency, clarity, and compliance with client specifications.
  • Maintain and update a library of standard content, CVs, case studies, and templates.
  • Track opportunities via tender portals and internal systems, and maintain a bid calendar.
  • Ensure all deadlines are met and submissions are of high quality and professionally presented.
  • Assist in post-bid processes including clarifications, presentations, and debriefs.
  • Monitor and report on success rates and provide input for continuous improvement in the bidding process.

Qualifications and Skills:

  • Proven experience in a bid coordination or administrative role (2+ years preferred).
  • Strong organizational and project management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
  • High attention to detail with the ability to work under pressure and meet tight deadlines.
  • Familiarity with public and private sector procurement processes (desirable).
  • Knowledge of CRM or bid management software (e.g., HubSpot, Salesforce, Sugar CRM, In-Tend) is a must.

Preferred Backgrounds:

  • Degree or diploma in Business, Communications, Marketing, or related field.
  • Experience in [Industry-specific, e.g., IT, Consulting, Engineering, Construction].

Working Conditions:

  • May require occasional extended hours during peak bidding periods.
  • Offshore reporting / Remote work

Job Type: Full-time

Pay: From ₹300,000.00 per year
