To provide high-level secretarial, administrative, and organizational support to the senior executive(s), ensuring smooth management of their day-to-day activities, effective communication, and timely execution of tasks.

Key Responsibilities

  • Administrative Support
  • Manage and maintain executive’s schedules, appointments, and travel arrangements.
  • Organize and coordinate meetings, conferences, and events.
  • Prepare and edit correspondence, reports, and presentations.
  • Handle confidential documents ensuring they remain secure.
  • Communication Management
  • Screen and manage phone calls, emails, and other communications.
  • Act as a point of contact between the executive and internal/external stakeholders.
  • Draft, review, and send official correspondence on behalf of the executive.
  • Operational Support
  • Maintain filing systems (physical and digital) for easy retrieval of information.
  • Follow up on pending tasks, deadlines, and commitments.
  • Prepare expense reports and assist in budget tracking.
  • Coordination & Liaison
  • Coordinate with different departments for smooth flow of information.
  • Arrange logistics for business trips including visas, tickets, accommodation, and itineraries.
  • Greet and assist visitors to the executive office.

Skills & Competencies

  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • High level of discretion and confidentiality.
  • Ability to multitask and prioritize effectively.
  • Professional appearance and demeanor.

Qualifications & Experience

  • Graduate in any discipline (preferred: Business Administration, Commerce, or related field).
  • Proven experience (1–4 years) as a Personal Secretary, Executive Assistant, or similar role.
  • Knowledge of office management systems and procedures.
  • Fluency in English (additional languages an advantage).
