Job Description

As a People Assistant at Ideagen, you will play a crucial role in providing organized and proactive administrative support to address various HR queries and issues. You will serve as the primary point of contact for all employees reaching out to the People team during their employee life cycle. Your approach will reflect high-level customer service to efficiently manage confidential employee data and offer professional support to the business. You will collaborate with a team to support multiple countries/locations while reporting to the VP of People (Shared Services). Your responsibilities will include assisting the VP/Head of People/People Business Partner in delivering a wide range of HR services, supporting Talent Acquisition and Reward teams, managing tasks efficiently, prioritizing effectively, and nurturing relationships with stakeholders. Key Responsibilities: - Deliver excellent customer service to the business by ensuring accuracy and efficiency in responses. - Act as the first line of support for employees and line managers, providing guidance on policies and escalating issues when necessary. - Manage incoming queries in the People shared inbox and categorize them accordingly. - Assist in notetaking during formal meetings and drafting formal outcome letters when required. - Prepare employee letters related to changes in terms and conditions, family leave, references, and resignation acknowledgements. - Offer proactive support to the broader People team and generate reports and analysis on People data. - Foster positive relationships with the wider business and relevant stakeholders. Skills and Experience: - Minimum of 4 years of experience in US Federal and State Labor Laws and Regulations to ensure company compliance. - Proficiency in Benefits Administration, including managing employee benefits programs. - Familiarity with Workday and willingness to work overlapping hours for India and the US. - Strong administrative background with the ability to adapt quickly. - Flexible approach to new challenges and changing environments. - Team player with a proactive attitude, high professionalism, and ethical values. - Effective communication skills with diverse groups of people. - Methodical and organized with exceptional attention to detail. - Understanding of the significance of confidentiality and discretion.
