We are seeking a highly organized and customer-focused Office Assistant to manage our front desk operations and provide coordination support to our team. The ideal candidate will be responsible for ensuring a warm welcome to visitors, handling administrative tasks, and coordinating various projects and events.
Key Responsibilities:
1. Front Desk Management:
- Greet visitors, answer phone calls, and respond to emails in a professional and timely manner.
- Manage the reception area, ensuring it is tidy and organized.
- Handle incoming and outgoing mail, packages, and couriers.
2. Administrative Support:
- Provide administrative assistance to the team, including preparing documents, reports, and presentations.
- Maintain accurate and up-to-date records, databases, and filing systems.
- Order office supplies, manage inventory, and ensure the office is well-stocked.
3. Coordination and Organization:
- Coordinate meetings, appointments, and events, including scheduling, logistics, and catering.
- Prepare agendas, minutes, and other meeting materials.
- Develop and implement effective filing systems, both physical and digital.
4. Communication and Team Support:
- Provide exceptional customer service to visitors, clients, and colleagues.
- Communicate effectively with the team, management, and external stakeholders.
- Offer support and assistance to colleagues as needed.
Requirements:
1. Education: High school diploma or equivalent required; associate's or bachelor's degree preferred.
2. Experience: 1-2 years of experience in an administrative or office support role.
3. Skills:
- Excellent communication, organizational, and time management skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and handle sensitive information.
- Friendly, approachable, and customer-focused demeanor.
4. Physical Demands:
- Ability to sit for extended periods.
- Ability to lift up to 25 pounds.
