Job Description

The Office Administrator Intern is a contract position for a minimum of 6 months. This individual will be responsible for supporting our office & its personnel in Bengaluru. The role is in-office and requires the applicant to be physically present on-site 5 days per week.

Primary Responsibilities And Duties

  • Answer all incoming phone calls and redirect as necessary
  • Process incoming/outgoing mail and deliveries
  • Planning and executing of events within the office in partnership with other stakeholders including HR, People Experience, and department leaders
  • Managing the access control system software including the printing of credentials, activation & deactivation of credentials, and tracking of temporary badges
  • Keep the office/kitchen tidy and stocked
  • Assisting in and completing preparation for meetings, both virtual and in-person
  • Greeting and registering all visitors to the office
  • Manage employee gifting for life events (marriages, birth of children, etc.)
  • Coordinate food deliveries during leaders site visits
  • Other duties as assigned this role supports the office and its occupants and flexibility is required

  • Proficiency with MS Outlook, Word, OneNote, PowerPoint, Excel, Slack, and other cloud-based applications
  • Event planning
  • Proficiency booking travel online
  • Strong organization skills

  • A positive attitude. This person will be the face of the office and a positive demeanor is key.
  • Ability to process and respond to a high volume of email, instant messages, and phone calls
  • A bias for action. The person who fills this role needs to identify and solve problems without the prompting of leadership or other internal stakeholders
  • Ability to effectively prioritize projects and tasks to ensure all initiatives are kept moving forward on the committed schedule

Minimum Qualifications

  • 3+ years of experience in a similar role

Preferred Qualifications

  • Experience managing an access control platform
  • Strong knowledge of building systems including mechanical, electrical, & plumbing
  • Knowledge of typical means & methods of construction
  • Knowledge of the principals of scheduling and Gantt charts

Environment and Physical Demands

Work is primarily sedentary in nature and can be executed sitting or standing positions in an office environment.Requires ability to utilize technology related to using a keyboard, verbal communication, and work with device screens which require visual acuity.If located in a company office, often requires the mobility to physically navigate the space.In the event of business travel, mobility sufficient to utilize public and private transport and navigate to essential locations.May include moving or lifting of 25 pounds or less (e.g., office chair, reams of paper).
