Position Overview:

The Facility Admin Assistant is responsible for supporting the smooth and efficient operation of office and facility-related activities. This role ensures proper upkeep of the workplace, coordinates with vendors and service providers, and assists in maintaining a safe, clean, and well-functioning work environment.

Qualifications & Experience:

  • 10th/12th or Any Diploma
  • Min 2 years of experience in facility or administrative support roles.
  • Experience in vendor coordination and office maintenance operations preferred.

Key Responsibilities:

  • Assist in daily facility operations including housekeeping, maintenance, and general office upkeep.
  • Monitor office infrastructure such as electrical systems, air conditioning, water supply, and other utilities.
  • Coordinate with vendors and contractors for maintenance, repairs, and service requirements.
  • Maintain and track inventory of office and facility supplies (stationery, pantry, cleaning materials, etc.).
  • Oversee housekeeping staff and ensure cleanliness standards are consistently maintained.
  • Handle courier, dispatch, and logistics-related tasks.
  • Maintain records of vendor contracts, AMC (Annual Maintenance Contracts), and service logs.
  • Support in organizing internal events, meetings, and staff requirements related to facilities.
  • Monitor access control systems, ID cards, and visitor management.
  • Ensure safety and compliance with facility policies and report any maintenance or safety issues promptly.
  • Assist in preparing facility-related reports, checklists, and expense tracking.

Skills & Competencies:

  • Strong organizational and coordination skills.
  • Ability to manage vendors and ensure service quality.
  • Good communication and interpersonal abilities.
  • Basic knowledge of facility maintenance and safety standards.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Attention to detail and ability to multitask effectively.
