Job Description

As a Receptionist at our company, your role involves interacting with clients, providing administrative support, managing visitor experiences, supporting sales and design teams, handling scheduling and calendar management, coordinating office tasks, managing customer relationships, and assisting with marketing and events. - Client Interaction: - Greet and welcome clients or visitors professionally. - Respond to phone calls and emails, addressing client inquiries. - Schedule appointments for potential clients with interior designers or sales representatives. - Provide basic information about our services and portfolio. - Administrative Support: - Manage incoming/outgoing correspondence. - Update client records and databases. - Assist in organizing meetings and taking minutes. - Visitor Management: - Ensure visitors sign in and are directed appropriately. - Coordinate visitor appointments and notify relevant team members. - Maintain a tidy reception area. - Support to Sales & Design Teams: - Liaise between clients and teams for smooth communication. - Forward client feedback to the appropriate department. - Assist with follow-ups on project proposals and client queries. - Scheduling and Calendar Management: - Maintain appointment schedules for teams. - Coordinate meetings and send timely reminders. - Handle rescheduling requests efficiently. - Office Coordination: - Monitor and order office supplies. - Maintain cleanliness in common areas. - Handle maintenance requests for the office. - Customer Relationship Management: - Track client interactions and feedback in the CRM system. - Provide timely updates on project progress to clients. - Uphold high customer service standards for a positive experience. - Support Marketing & Events: - Assist in planning events or client presentations. - Distribute brochures, respond to social media inquiries, and update promotional materials. Skills Required: - Excellent communication and interpersonal skills. - Strong organizational and multitasking abilities. - Proficiency with office software and potentially CRM tools. - Customer-centric attitude with a professional demeanor. - Time management and attention to detail.
