Job Description

DESCRIPTION

The Sales & Commercial Operations Coordinator supports the customer-facing sales force throughout the sales cycle—from lead generation to order fulfillment—by executing and improving commercial, pricing, and documentation processes. This role involves close coordination with internal departments, dealers, and customers to ensure timely and accurate order execution, pricing support, and business development activities. The ideal candidate is proactive, detail-oriented, and customer-focused, with a strong ability to manage multiple priorities under limited supervision.

Key Responsibilities Order Execution & Coordination

  • Manage spare parts order execution, including sales order (SO) release, system pricing, and project documentation.
  • Coordinate engine supply, resolve short shipments, and address BIS compliance issues.
  • Follow up with dealers and internal teams to ensure smooth order processing.

Pricing & Documentation

  • Maintain and update master pricing files, triplicates, and upfit lists.
  • Prepare and manage commercial documentation such as NDAs, Offers, OIFs, budgetary quotes, and payment applications.
  • Maintain a repository of parts and engine transfer price circulars to support timely commercial responses.

DOEM & Marketing Support

  • Prepare DOEM documentation including SBP reports, Hits & Misses, newsletters, Star Awards, and management presentations.
  • Coordinate with MarCom for DOEM-related marketing and communication activities.
  • Support business development initiatives and customer visits.

Sales Operations & Customer Engagement

  • Respond to customer inquiries via phone and email, qualify leads, and route them to appropriate sales professionals.
  • Compile budgetary quotes for simple to complex jobs, including technical data and lead times.
  • Process orders, issue acknowledgments, invoices, and shipping notices.
  • Communicate order and inventory status, and resolve customer issues in collaboration with internal teams.
  • Monitor inventory levels and initiate orders as needed.

RESPONSIBILITIES

Qualifications

  • High school diploma or equivalent; additional certifications in business, sales, or supply chain are advantageous.
  • This position may require licensing for compliance with export controls or sanctions regulations.

QUALIFICATIONS

Skills and Experience

  • Significant relevant work experience or specialized skills gained through education, training, or on-the-job experience.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Strong coordination, documentation, and communication skills.
  • Experience in commercial operations, pricing, or sales support preferred.
  • A result-oriented mindset with a “get-it-done” approach.
