Job Description

Position: Front Office Executive

Department: Front Office
Reports to: Admin Manager

**1. Job Purpose

To ensure smooth, efficient, and courteous handling of patients and visitors at the hospital front desk while maintaining high standards of customer service and accurate documentation.

2. Key Responsibilities Patient Reception & Registration

  • Welcome patients and visitors courteously.
  • Handle patient registration and collect required details accurately.
  • Maintain and update patient records in the Hospital Information System (HIS).
  • Issue UHID numbers, appointment slips, and other documentation.

Appointment & Enquiry Management

  • Manage doctor appointment scheduling and confirmations.
  • Respond to queries related to OPD, procedures, timings, and billing information.
  • Guide patients to the respective departments.

Coordination & Communication

  • Coordinate with nursing staff, doctors, and other departments for smooth patient flow.
  • Handle incoming calls, transfer calls, and take messages professionally.
  • Coordinate ambulance requests and other service arrangements.

Customer Service

  • Address patient concerns and escalate issues when needed.
  • Provide support to elderly, disabled, or anxious patients.
  • Ensure a positive patient experience at all touchpoints.

Documentation & Compliance

  • Maintain front office checklists and logs.
  • Adhere to hospital policies, NABH standards, and data confidentiality requirements.
  • Ensure proper record keeping, filing, and paperwork.

3. Required Skills & Competencies

  • Excellent communication and interpersonal skills.
  • Professional and pleasant demeanor.
  • Strong customer service orientation.
  • Basic computer knowledge (MS Office, HIS, billing software).
  • Ability to multitask and work under pressure.
  • Attention to detail and accuracy.

4. Qualifications & Experience

  • Minimum Graduate (preferred: Hospitality, Commerce, or Healthcare background).
  • 1–3 years of experience in hospital front office or customer service.
  • Freshers with good communication skills may also be considered.

5. Work Environment

  • Rotational shifts including weekends and holidays.
  • Front desk-based role with continuous patient interaction.

Job Types: Full-time, Permanent

Pay: ₹25,000.00 - ₹28,000.00 per month
