Key Responsibilities: Bookkeeping & Record Keeping: Maintain accurate and up-to-date financial records using QuickBooks accounting software. Record daily financial transactions, including sales, purchases, receipts, and payments. Perform bank reconciliations to ensure accuracy of financial data. Assist with month-end and year-end closing procedures as required. Organize and maintain financial documents, both physical and digital. Invoicing & Accounts Receivable: Generate and issue accurate and timely invoices to customers based on sales orders or service agreements. Verify billing details and resolve any discrepancies with sales or operations teams. Monitor accounts receivable aging reports and proactively follow up on overdue payments via phone, email, and mail. Process and apply customer payments accurately in QuickBooks. Reconcile customer accounts and resolve payment discrepancies. Prepare and send customer statements. Assist in developing and implementing effective collection strategies. Payments & Vendor Management (Limited): Assist with processing vendor invoices and preparing payments as needed (e.g., entering bills into QuickBooks).
