Role

Responsible for delivering exceptional customer service to tenants, visitors and vendors while managing front desk operations. This role involves handling administrative tasks, coordinating with internal departments (facilities, maintenance, security) and ensuring smooth day-to-day building operations.

Key Responsibilities

  • Greet and welcome all visitors, clients and tenants professionally and courteously.
  • Manage visitor logbooks or digital check-in systems and issue temporary access badges in compliance with security protocols.
  • Answer general inquiries, address complaints and provide accurate information regarding building services and amenities.
  • Maintain a positive and welcoming atmosphere in the reception area.
  • Manage main phone lines, screen calls, take messages and redirect calls appropriately.
  • Handle incoming and outgoing mail, couriers and package deliveries, ensuring proper sorting and distribution.
  • Organize and maintain physical and digital filing systems.
  • Draft and prepare documents, reports and correspondence as required.
  • Schedule and confirm appointments, meetings and conference room bookings.
  • Liaise with maintenance and facilities teams to report building issues or repair requests for timely resolution.
  • Assist with onboarding new tenants, explaining building protocols and access procedures.
  • Monitor and manage front desk and office supplies, placing orders when necessary.
  • Maintain building security by following established safety procedures and monitoring access control points.
  • Manage attendance records and access cards/keys for staff and tenants.

  • Degree/Diploma in Hotel Management or related field.
  • Excellent communication and interpersonal skills.
  • Strong organizational, multitasking, and time-management abilities.
  • Exceptional customer service orientation and problem-solving skills.
  • Ability to be resourceful, proactive, and work well under pressure.
