Job Description

Job Purpose:

To serve as the first point of contact for patients, visitors, and guests by providing courteous, efficient, and professional assistance. Responsible for handling patient registration, inquiries, billing support, and ensuring smooth front desk operations in compliance with hospital service standards.

Key Responsibilities:

  1. Patient Interaction & Reception

  • Greet patients, attendants, and visitors in a courteous and professional manner.
  • Manage patient check-in and check-out processes.
  • Handle inquiries related to hospital services, doctors schedules, and appointments.
  1. Appointment & Registration Management

  • Schedule and confirm patient appointments.
  • Register patients in the hospital information system with accuracy.
  • Maintain patient records, ensuring confidentiality and compliance with hospital policies.
  1. Billing & Cash Handling

  • Assist in preparing and explaining bills to patients.
  • Collect payments, issue receipts, and maintain accurate transaction records.
  • Coordinate with the accounts team for billing discrepancies.
  1. Communication & Coordination

  • Manage phone calls, emails, and messages professionally.
  • Coordinate with doctors, nurses, and other hospital staff to ensure patient requirements are met.
  • Guide patients and attendants regarding hospital facilities, policies, and procedures.
  1. Administrative Support

  • Maintain front office area, ensuring it is clean and organized.
  • Monitor and manage visitor entries as per hospital safety policies.
  • Support hospital administration in daily operational requirements.

Skills & Competencies Required:

  • Excellent communication (verbal & written) and interpersonal skills.
  • Strong customer service orientation with a patient-first approach.
  • Good knowledge of MS Office and hospital management software.
  • Ability to handle stressful situations with patience and empathy.
  • Attention to detail and ability to multitask.

Qualifications & Experience:

  • Graduate (preferably in Hospitality, Healthcare, or Business Administration).
  • 13 years of experience in front office/reception, preferably in a hospital or healthcare setup.
  • Freshers with good communication skills may also be considered.

Working Conditions:

  • Rotational shifts including weekends and holidays.
  • Requires extended interaction with patients, attendants, and staff.
  • Must maintain professional appearance and behavior at all times.
