To be a front desk officer, one needs to possess social skills and be friendly with the visitors, use interpersonal skills and be helpful. A helpful attitude should be prevalent and should always be available to assist others. Manage & Oversee Site services (Soft & Hard) as part of the scope delivered Ensuring that basic facilities are well-maintained and conducting proactive maintenance Formulate a monthly calendar of events and implementation plan Champion monthly meetings with stakeholders to enhance relationships Implement a Preventive and Planned Maintenance Programme to minimize maintenance, repair, and replacement costs together with minimizing the risk of equipment failure. Works with the team on arrangements for events, conferences, meetings, functions and open days. Assist in the coordination of event orders with client, team, and vendors Organize facilities and manage all events details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc. Propose ideas to improve events and service quality Monitor expenditure against forecasts/budgets ensuring that funds are spent appropriately, reviewing spending if necessary, ensuring best value for money, while complying with all relevant policies. Ensure all technology platforms pertaining to Office Operations are working as per its intent purpose and analytics are carried on a timely manner to ensure proactive response. Ensures compliance with organizational Health & Safety policy, processes, and procedures in all operational activities, ensuring appropriate risk assessments are carried out and corrective actions documented and addressed. Manage minor works / Churn in the office • Able to liaise with Landlord on lease management and contractual services delivered Sourcing and Overseeing contracts and service providers for functions such as catering, cleaning, parking, security, and technology Planning for the future by forecasting the facilitys upcoming needs and requirements • Advising businesses on measures to improve the efficiency and cost-effectiveness of the facility Supervising teams of staff across different divisions and locations • Dealing with emergencies as they arise Ensuring that facilities meet compliance standards and government regulations Responsible for vendor procurement and ensure procurement compliance Manage vendor services Manage Site budgets within allocated targets Actively encourage an environment that drives teamwork, co-operation & performance excellence. Skills & Qualifications: A Bachelors in related field and work experience of over Two years. Excellent time management and communication skills. Ability to manage multiple projects independently Comprehension of M&E services to ensure services are managed, although technical qualification / background is not mandatory One or more globally/regionally recognized certifications in Facility management, PMP, Health and Safety, Human Experience, etc., would be an asset.
