Job Description

Role Overview

The Front Desk Executive will serve as the first point of contact at the companys head office, ensuring a welcoming and professional environment for visitors, clients, and employees. The role involves managing reception operations, handling communication, maintaining visitor records, and providing administrative support to HR and Operations teams.

Key Responsibilities

  • Greet and attend to visitors, clients, and employees courteously at the reception area.
  • Manage the reception desk, answer calls, and route them to the appropriate departments.
  •  Do the onboarding process of guards and maintain their logs.
  • Handle incoming and outgoing correspondence (letters, couriers, emails) efficiently.
  • Assist HR with administrative tasks such as employee file management, ID card issuance, and onboarding documentation.
  • Support Operations team with record-keeping, dispatch of site documents, and follow-ups with field officers.
  • Manage meeting room bookings and ensure arrangements for client/management meetings.
  • Maintain the reception areas cleanliness, professional appearance, and readiness at all times.
  • Provide hospitality (tea/coffee, refreshments) to visitors and guests.
  • Coordinate with vendors, service providers, and office staff for administrative needs.

Qualifications & Skills

  • Graduate in any discipline (Diploma in Office Management/Administration preferred).
  • 0-1years of experience as a Front Desk Executive/Receptionist (preferred experience in the security/facility management industry will be an advantage).
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Strong communication skills in English and the local language.
  • Presentable personality with good telephone and email etiquette.
  • Ability to handle multiple tasks and maintain confidentiality.
