Job Title: Executive Assistant Department: Admin Experience Required: 4 - 8 years Location: Gurugram (Haryana) Job Summary: We are seeking a highly organized, reliable, and discreet Executive Assistant (EA) to provide comprehensive, high-level administrative and operational support to the Directors and Senior Management . The EA will serve as a key point of coordination and support for the Directors ensuring smooth day-to-day operations, managing sensitive and confidential information, and enabling the Directors to focus on strategic priorities. Key Responsibilities: Administrative & Executive Support: Manage complex calendars and schedules for the Directors, prioritizing meetings, appointments, and events. Organize and coordinate internal and external meetings, reviews, and business events. Draft, review, and manage correspondence, presentations, reports, and official documents. Prepare meeting agendas, attend meetings, take minutes, and follow up on action items. Maintain accurate records, files, and databases for easy retrieval and reference. Handle incoming emails, calls, and other communications on behalf of the Directors. Handle ad-hoc assignments and special projects with minimal supervision. Travel & Logistics Management: Plan and book end-to-end travel, including tickets, accommodation, transportation, and visa processing whenever required. Prepare comprehensive travel itineraries and handle reimbursements and expense tracking. May need to travel as per the Directors’ schedule and job requirements. Liaison & Communication: Serve as the primary point of contact between the Directors and internal/external stakeholders. Communicate professionally on behalf of the Directors and manage confidential correspondence. Coordinate with department heads, employees, clients, vendors, and other stakeholders as needed. Confidentiality & Professionalism: Handle highly sensitive and confidential information with absolute discretion and integrity. Maintain a high degree of professionalism and diplomacy in all interactions.
