Job Description

We are in search of an Export Documentation Executive, who is responsible for the timely and accurate preparation and management of all paperwork required for international shipments. They ensure compliance with all relevant export laws and customs regulations to facilitate the smooth and efficient movement of goods.

Roles and responsibilities

  • Documentation preparation: Prepare and review a variety of export documents, such as commercial invoices, packing lists, shipping bills, and certificates of origin.
  • Regulatory compliance: Ensure that all documentation complies with the export laws and customs requirements of both the origin and destination countries to avoid shipping delays and penalties.
  • Logistics coordination: Liaise with internal departments (e.g., sales, finance) and external parties, including freight forwarders, shipping lines, and customs brokers, to coordinate shipment and customs clearance.
  • Shipment tracking: Monitor and manage the progress of shipments from dispatch to delivery and resolve any documentation issues that arise.
  • Bank and financial coordination: Handle banking documentation, such as Letters of Credit (LCs), and follow up on payment and billing records.
  • Record keeping: Maintain an organized and accurate record of all export transactions and documentation for easy retrieval during audits or inspections.
  • Incentives and claims: Preparation of documents for claiming export incentives and maintaining relevant licenses (e.g., EBRC, MEIS, RODTEP).
  • Problem resolution: Address any discrepancies or issues related to export documentation in a timely and effective manner.

Required skills and qualifications

  • Education: A bachelor's degree in logistics, international business, or a related field is typically required.
  • Experience: Previous experience in export documentation, shipping, or the import-export industry or consultancy is highly valued.
  • Attention to detail: The ability to review and prepare documentation with high accuracy is essential to prevent compliance issues.
  • Organizational skills: Strong organizational skills are necessary to manage multiple export transactions and documentation processes simultaneously.
  • Regulatory knowledge: In-depth knowledge of export regulations, customs procedures, and international trade laws is critical.
  • Communication skills: Excellent written and verbal communication skills are required for coordinating with various internal and external stakeholders.
  • Problem-solving: A proactive approach to identifying and resolving issues related to documentation is a key attribute.
  • Technical proficiency: Experience with relevant software, such as Microsoft Office Suite and any specific export documentation platforms, is often needed.

Job Types: Full-time, Permanent

Pay: ₹20,000.00 - ₹25,000.00 per month

Ability to commute/relocate:

  • Ernakulam, Kerala: Reliably commute or planning to relocate before starting work (Required)
